How does the meeting cost calculator work?
You add each attendee with their annual salary and currency, then enter the meeting duration. The calculator turns each salary into an hourly rate by dividing by the working hours per year (default 2080), multiplies by an overhead factor for benefits, equipment and office space (default 1.4×), then sums the cost across attendees for the meeting duration. The total is shown in your chosen output currency.
Why multiply by an overhead factor?
A salary is only part of what an employee actually costs the business. Benefits, payroll taxes, equipment, software seats and office space typically add 30 to 80 percent on top of base pay. The standard "fully loaded" multiplier in the US is around 1.3× to 1.5×, which is why we default to 1.4×. If you only care about the raw salary cost, slide it down to 1.0×.
What if attendees have salaries in different currencies?
Each row has its own currency. The calculator converts every attendee's hourly cost into US dollars using a hardcoded approximate rate table, then converts the grand total into whichever currency you select for the output. The conversion is approximate and offline, so it will not match a live FX rate to the cent - but for a back-of-the-napkin meeting cost it is more than accurate enough.
Why does the calculator default to 2080 working hours per year?
2080 is 40 hours per week multiplied by 52 weeks, which is the standard US assumption used in salary-to-hourly conversions and government statistics. If your team works fewer billable hours (because of holidays, vacation, training or part-time schedules), reduce this number - 1800 to 1900 is more realistic in many European countries with longer holidays. The lower the number, the higher the implied hourly cost.
Is this tool accurate enough to put in a budget?
No. It is a rough order-of-magnitude estimate meant to make the cost of recurring meetings tangible. Real cost accounting needs actual loaded labor rates, time-tracking data and proper allocation of indirect costs. Use this calculator to start a conversation about which meetings are worth their cost, not to replace your finance team's spreadsheets.
Does my data get sent anywhere?
No. The entire calculator runs in your browser. Salaries, names and the meeting details never leave your device - there is no API call, no analytics on the input, and nothing is saved to a server.
