What must a legal invoice include?
A valid invoice generally requires a unique invoice number, the issue date, your business name and address, the customer's name and address, a description of goods or services, quantities and unit prices, the total amount due, and any applicable tax breakdown. Many countries also require your tax registration number, payment terms, and bank details for direct transfer.
Do I need to charge sales tax, VAT, or GST?
It depends on your country and registration status. In the EU and UK, you charge VAT once you exceed the registration threshold. In Australia and India, GST applies above the threshold. In the US, sales tax is state-level and only applies to taxable goods or services. The generator lets you set any tax rate or omit tax entirely if you are not registered.
How do I number my invoices?
Use a sequential, unique number for each invoice. Common formats are simple integers (1001, 1002), date-based (2026-001, 2026-002), or client-prefixed (ACME-001). Most tax authorities require the sequence to be unbroken - a missing number can trigger questions during an audit. Pick a format on day one and never reset the sequence.
What payment terms should I use?
Net 30 (payment due 30 days from invoice date) is the global default. Net 14 or Net 7 speed up cash flow and are common for freelancers. "Due on receipt" is appropriate for small one-off jobs. Always state the payment term clearly on the invoice and decide in advance whether you will charge late fees, which most jurisdictions allow if disclosed.
Is a PDF invoice legally valid?
Yes, in nearly every country a PDF invoice has the same legal weight as a printed one, provided it contains all the required fields and is sent to the customer. Some jurisdictions (notably Italy, Mexico, and parts of India) additionally require submission through a government e-invoicing portal for certain transactions, so check local rules.
How long do I need to keep copies of invoices?
Retention periods vary: six years in the UK, seven years in the US for federal tax purposes, ten years in many EU countries, and eight years in India under GST. The safest practice is to keep digital copies of every issued and received invoice for at least seven years in case of audit, tax dispute, or contract enforcement.
